Bank Reconciliation

Bank reconciliation

Reconcile a bank statement against QuickBooks

Export the bank account's register from QuickBooks (an Account QuickReport or Transaction Detail by Account, as CSV or Excel), upload it with the bank statement, and see at once which lines match, which checks are still outstanding and what is on the statement but not in the books.

Step 1

Bank statement

PDF from online banking, a scan, or the bank's CSV or Excel export.

or drop it here

Step 2

Books

The bank account's register or ledger from QuickBooks, Xero or a spreadsheet, as CSV or Excel.

Getting the export from QuickBooks

In QuickBooks Online open Reports, run Account QuickReport (or Transaction Detail by Account) for the bank account, set the period to the statement period plus a few weeks before it, and export to Excel or CSV. QuickBooks Desktop: open the register or a QuickReport and export it. Title rows and total rows in the export are recognised and skipped.

How lines are matched

Same amount to the cent within a week, best pairs first. Checks match on their check number even when they clear months later. A bank deposit that combines several customer payments is matched to those payments when they add up exactly. What is left is listed on its own side, with suggestions for likely errors: a transposed amount, an entry booked with the wrong sign, a fee taken off a deposit.

Why reconcile outside QuickBooks

QuickBooks has its own reconcile screen, which needs the account to be set up with bank feeds or every line ticked by hand. Here you work from the statement itself, which helps when catching up months of books, when a client sends PDF statements, or when you need the reconciliation as a workbook for a file or a review.

Prices in USD are approximate. Checkout charges the exact amount in USD at Stripe’s exchange rate (a 2–4% conversion fee is included), or in euros if you prefer. No VAT or sales tax is added. Monthly, cancel any month. A statement is one uploaded statement file; matching it again or against a corrected ledger is not counted again.

Questions

Does this change anything in QuickBooks?
No. It reads the exports you upload and creates a report. Items missing from the books can be downloaded as a CSV and imported as bank transactions if you choose.
Which statement formats work?
PDF statements from online banking, scanned statements (with a free account), and the CSV or Excel export of the bank.
